Responsibilities


The claims administrative assistant is responsible for providing support to the overall operation of a Claims Branch.  The day to day tasks may vary based upon needs however the primary function of the claims administrative assistant is to contribute to the greater good of the organization and assist with special projects or provide assistance to other team members as may be required. Claims administrative assistants are encouraged to engage in branch initiatives and offer suggestions for improvement where deficiencies exist for the benefit of all.  Claims administrative assistants are encouraged to play an active role in their claims technical training and career development and proactively seek assistance when needed.



The following objectives are provided to execute on the Claims Mission and Vision statements:




  • Effectively accomplishes office administration responsibilities such as maintaining the office calendar, maintaining the front lobby, greeting visitors and assisting with phone calls. 



  • Receives office mail/deliveries and oversees outbound mail assuring formats and packages are in compliance with the company correspondence manual and other applicable standards.  Drafts routine correspondence and expedites urgent, confidential, and important correspondence to appropriate personnel as needed. Performs mail indexing tasks as required.



  • Assists leadership with a variety of tasks as assigned such as completing expense reports, compiling status reports, and coordinating travel. 

  • Accomplishes assigned tasks on time and exercises good judgment and professionalism when dealing with internal and external customers. Anticipates problems and recommends a range of solutions.



  • Orders office supplies and tracks branch expenditures within budget documents (e.g., purchase requisitions). Ensures accuracy of expenditures listed and timely payment.

  • Communicates pertinent information to Branch as directed by leadership; maintains branch phones lists.

  • May be responsible for accurate data input into the Vendor IRS database, following guidelines and regulations from all participating institutions.

  • Organizes correspondence in priority order; exercises discretion in ordering documents for immediate action and forwards pertinent correspondence directly to associates for their attention and follow up.

  • Responds to all inquiries and correspondence.

  • Schedules Branch Meetings, Office training, and other meetings such as interviews.

  • Maintains timetables and ensures all deadlines are met. Must be flexible and display initiative in working on new tasks.

  • Demonstrates a working knowledge of company policies and procedures.

  • May be assigned recurring reporting responsibilities such as project status reports, metric snapshots or other ongoing initiatives.

  • Provides administrative support to Directors when called upon or needed.

  • Serves as a positive representative of The General and the department to all clients and co-workers.



Job Requirements




  • High school diploma or equivalent is required.

  • 4-year degree is a plus.

  • Minimum of one year administrative experience.

  • Proficiency with Microsoft Office Applications, including Word, Windows and Excel required.

  • Excellent oral and written communication skills needed.

  • Interpersonal skills and the ability to listen with compassion and understanding are essential.

  • Must be able to give great attention to detail.

  • Ability to handle multiple tasks simultaneously.

  • Must have the ability to read, research, identify and make decisions based on guidelines given.

  • Requires the ability to perform basic math calculations (addition, subtraction, multiplication and division
